OUR SERVICES
Whether you require document storage, scanning or imaging, or shredding and destruction services, we have a wide range of management solutions designed to make your life easier. We have excellent organisational skills and can provide a full inventory of your documents, prior to storage. We offer standard (next day), and rapid response delivery, collection and retrieval options. All documents are tracked on our state-of-the-art O'Neil software. If you would like to collect a document yourself we can have it ready for you to view in the comfort of our viewing room. Our document scanning service allows us to retrieve a document and send it to you electronically. We also provide on-site secure destruction and disposal services upon your written request.
DELIVERY, COLLECTION & RETRIEVAL
We will ensure the reliable delivery and collection of your documents to and from your door, transported in our own fleet of vehicles to our storage facility, quickly and courteously. We will also keep track of who took delivery of the documents and when.
All boxes received into our storage facility are logged into our state-of-the-art database, which holds details of the precise location, retrieval status and the destruction review date of each box.
Our standard retrieval service requires clients to request their documents, files or tapes by 4pm for delivery on the next working day. However, we can also offer a rapid response service should you require delivery within much less notice.
- Delivery within 1 hour - a motorcycle courier service can be provided if a document or file is urgently required and can be delivered within 1 hour
- Delivery within 2 hours - once we receive your written request, your documents or boxes can be delivered to your door within 2 hours
Alternative retrieval services include:
- File Retrieval - should you wish to retrieve a file rather than a complete box, we will access your box and deliver the relevant files on your behalf.
- Self-collection - should you prefer, we can access your document from the archive and have it waiting for you to collect or view in our superb Viewing Room facility.
SECURE DESTRUCTION & DISPOSAL
This is one of the most important aspects of your document management strategy and Swann Storage treats this issue extremely seriously. Once you have given your written confirmation to proceed, the document will be destroyed using industrial shredding equipment with our on-line management system monitoring every stage of this process.
A Certificate of Destruction will be issued in confirmation of the action taken and all material is recycled.
INVENTORY SERVICE
Many of our clients find that, although they wish to store documents off-site, they do not have time to produce an inventory of them beforehand. We are happy to use our extensive organisational expertise and systems to organise and catalogue your documents prior to storing them for you - all sorted logically and consistently.
